The Little Scientists

Welcome to The Little Scientists. This scheduling tool allows users and staff to sync Google Calendars and manage appointments.

The Little Scientists is the appointment scheduling application operated by Little Scientists LLC, which runs online STEM tutoring classes in science and maths for children in grades 1–8. Families use it to book class appointments with a teacher. Teachers and office staff use it to publish availability, manage the timetable, and keep each teacher’s Google Calendar in sync with the classes they are scheduled to teach. It is a scheduling tool only — lessons themselves take place over Google Meet.

What The Little Scientists does

The application provides the following features to parents, teachers, and administrative staff.

Book a class appointment

A parent chooses a subject, their child's grade, a class type, and a time that works for them. The app checks the teacher's live availability, reserves every session in the package, and sends a confirmation email with a Google Meet link.

Publish teacher availability

Teachers and staff set the weekly hours each teacher is available to teach. The app turns those hours into bookable appointment slots and keeps them up to date as classes are booked, moved, or cancelled.

Sync appointments to Google Calendar

When a teacher connects their Google Account, the app writes each class it schedules onto that teacher's own calendar, with the Meet link and the parent added as a guest, and updates or removes the event if the class changes or is cancelled.

Prevent double-booking

Before offering a time to a parent, the app reads the teacher's existing busy periods from Google Calendar. Times the teacher is already committed — including meetings booked outside this app — are hidden, so two things are never scheduled at once.

Manage the timetable

Administrators and schedulers create class offerings, assign teachers, review cancellation requests, and see the whole organisation's schedule in one timezone. Teachers see only their own classes and availability.

Handle changes and cancellations

Teachers request a cancellation and an administrator approves or rejects it. Approved cancellations release the slot, remove the calendar event, and notify the family. Parents can join a waitlist when a class is full.

How The Little Scientists uses Google Account data

The Little Scientists requests access to Google Calendar for one purpose only: scheduling classes. Here is exactly what that means.

What we request
Only when a teacher chooses to connect their Google Account, we request permission to manage calendar events (calendar.events), to read their calendar (calendar.readonly), and to confirm which Google Account is being connected (openid and email).
Why we need it
Calendar access is what makes the two core features above possible: writing each scheduled class onto the teacher's own calendar, and reading their existing busy times so we never book a class on top of another commitment.
What we do not do
We do not read the contents, titles, guests, or descriptions of a teacher's personal calendar events — only the times they are busy. We never sell Google user data, never use it for advertising, and never use it to train AI or machine learning models.
Staying in control
Connecting Google Calendar is optional and started by the teacher. Access can be revoked at any time from the teacher's Google Account permissions page, or by asking an administrator to disconnect it.
